Online Reputation Management
ORM services that grow genuine reviews, answer feedback professionally and strengthen what people see when they search your name.
A review routine for dental clinics that asks every patient, answers every review without revealing anything about the patient and keeps your rating honest.
Quavento Technologies manages online reputation for dental clinics, orthodontists, implant and cosmetic dentistry practices and small dental groups. We set up a routine that asks every patient for a review in the same fair way, draft replies to reviews in your voice for your approval, watch for new reviews across the platforms that matter in your market and report reviews that break the rules. We work from Pune with Indian clinics and remotely with practices in the United States.
People are anxious about dentists. They want to know whether the dentist is gentle, whether the clinic is clean, whether they will be told the cost before the work and whether the team listens. Strangers' reviews answer those questions better than a clinic's own description, so the rating beside your name often decides the call.
This page explains how a clinic earns reviews honestly, how to reply when the reviewer is a patient and you may not say so, and how to handle criticism. We do not give legal or dental advice, and we never write, buy or gate reviews.

What patients praise and what they criticise, counted and summarised for the clinic owner.
Mostly about how they were treated, not about the clinical work, which most cannot judge. Read the reviews of any well-regarded clinic and the same themes appear: the dentist explained everything, I was nervous and they were patient, no surprises in the bill, the clinic was spotless, the wait was short, the receptionist was kind.
These themes tell you where reputation is made. It is made in the minutes when a nervous person sits down, in whether cost is discussed before treatment, and in whether the team remembers a name. A review profile is therefore an honest mirror of the patient experience, and the most valuable thing we do is show you what it reflects.
Complaints cluster too, usually around waiting time, unexpected charges and feeling rushed. Because we count them each month, a clinic can see a problem on the front desk before it becomes a pattern. That is more useful than any single review.
By making it routine and identical for everyone. At the end of the visit, the receptionist or dentist can say a sentence along these lines: if you were happy with your visit, a Google review helps other people find us, and we will send you the link. The same day, a short message arrives by text, WhatsApp or email with a link that opens the review form directly.
The routine should not depend on a good mood at the front desk. Where your practice software can send messages when an appointment is marked complete, we connect the request to it, with the patient's consent to be contacted. Where it cannot, reception sends the message from a saved template at the end of each day.
One polite reminder a few days later is enough. We set up the link, the QR code for the reception desk, the wording and the trigger, and we keep a simple record of when requests were sent, which helps if a platform ever queries your practice.
They allow asking and forbid manipulation. Google's policy for reviews on Maps does not allow merchants to offer incentives, such as payment, discounts or free services, in exchange for reviews, and it does not allow merchants to selectively solicit positive reviews, which rules out sending the link only to patients who seemed pleased. The same request goes to everyone. Fake engagement, including reviews paid for or posted from several accounts by one person, is also prohibited.
In the United States, the Federal Trade Commission's rule on consumer reviews and testimonials, in effect since 21 October 2024, prohibits writing or selling fake reviews, prohibits compensation or incentives conditioned on a review expressing a particular sentiment, and prohibits suppressing reviews through false accusations, intimidation or groundless legal threats. Your legal or compliance adviser can tell you how it applies to your practice.
Other platforms have their own policies, and some discourage businesses from asking for reviews at all. We read each platform's current rules before we set up a routine there. In India, your dental council's code of ethics also bears on how a clinic publicises patient comments, and your council and adviser decide that.
Warmly and briefly, and without confirming that the reviewer is a patient. This is the rule that separates a health practice from a restaurant. A reply that says we are glad your root canal went well, or that apologises for the missed appointment on Tuesday, tells the world that the person is a patient and what care they received. That can breach their privacy and your professional duties, even when the reviewer has shared the same details themselves.
A safe reply thanks the person for taking the time, speaks about the clinic's values in general terms, and invites them to contact the practice, giving a phone number or email for the practice manager. It does not mention treatments, dates, dentists, fees or the content of the visit, and it does not argue the facts.
We draft every reply in your voice using this model and you approve it. Replies are written for the next patient who reads them as much as for the reviewer. A calm, privacy-aware response to an angry review shows a careful clinic. Our review management page describes the process, and what your jurisdiction requires of patient confidentiality is a matter for your adviser.
First, read it for what is true. Most negative dental reviews describe a real problem: a long wait, a surprise on the bill, a feeling of being rushed or a procedure that was uncomfortable. The most valuable response is to find out what happened internally, fix the cause and, if appropriate, contact the patient privately through your published number.
Second, reply once, publicly, in the safe form above. Take the conversation offline immediately. Complaints about clinical outcomes should go to the dentist and, where relevant, to your professional indemnity insurer, and are not for a public thread.
Third, do not pressure the reviewer to delete the review, offer anything to change it or threaten legal action to remove it. Platforms prohibit incentives for revising reviews, and in the United States the FTC rule addresses groundless legal threats to suppress reviews. A negative review answered well often does more for a clinic's credibility than a page of five stars, because readers trust a profile that looks real.
Only those that break the platform's own rules. A review from someone who was never a patient, a competitor posting under a false name, abusive or discriminatory language, or content about an entirely different business can be reported with evidence. A review that is simply unfair, harsh or mistaken, from a person who was a real patient, usually stays.
We keep a log of reviews that appear to break the rules, note why, and report them through the platform's process. We tell you honestly how often removal succeeds, which is not as often as clinics hope, and we do not promise removal. We do not use services that claim to delete reviews for a fee, because they usually rely on false reports or fake accounts.
Where a review involves a defamatory statement of fact, the option of legal action exists, and that is a decision for you and your lawyer. Our negative content suppression page explains what can be done with search results legitimately.
Google, first and by a wide margin, because its reviews appear beside the map listing where most patients choose. Your Google Business Profile, kept accurate and active, is the centre of the whole effort. Our Google Business Profile optimisation service covers the listing itself.
In India, many patients also check doctor-listing and local directory sites such as Practo and Justdial, and some read comments on Facebook. In the United States, patients may also look at Yelp, Facebook and health-provider directories such as Healthgrades, and insurance directories often list practices too. We help you claim and correct the profiles that matter in your market and monitor the rest.
We do not spread effort thinly. A clinic with a strong Google profile and accurate, claimed listings elsewhere is in better shape than one with a dozen neglected profiles. We tell you which platforms deserve attention, and which can be left alone.
The front desk makes the request, the practice manager approves replies and the dentist hears about clinical complaints. The roles are short and clear, and we give each person a one-page guide. The routine works best when the whole team understands that reviews reflect the experience from the moment the phone is answered.
Many clinics find it helpful to share kind comments about team members at a staff meeting, which is entirely acceptable. What is not acceptable is rewarding patients for reviews, asking staff or relatives to post reviews, or writing reviews on a patient's behalf.
For dental groups we organise the profiles so that each clinic has its own rating and replies, with a shared standard across the group. Our guide to getting more Google reviews describes the method for any local business.
New reviews are collected into one view and sent to you when they arrive, with an alert for low ratings so that the first reply is quick. Each month we report the number of new reviews, the average rating, the reply rate, the common themes and any reports made to platforms. We do not buy, edit or hide anything to improve the figures.
A genuine crisis is rarer: a viral complaint, a news story, a dispute that spreads across social media. We agree in advance who speaks for the clinic, what the first holding statement says and who contacts the patient privately. Our crisis management and brand monitoring pages describe the approach.
On proof, we should be plain: we have not published case studies in the dental industry and we make no claim of dental results. The related Google Business Profile work for Shruti IT Service is a local service business, not a dental clinic. For the full set of dental services, see our dental clinic marketing page, or contact us. Our general online reputation management page covers the wider service.

Reputation management for a dental clinic runs as a monthly retainer with defined deliverables, and a one-time review audit is a fixed-price project. We quote in rupees for Indian clinics and in US dollars for practices in the United States. We do not publish prices because the work depends on the number of locations, platforms and monthly review volume. Review-request software or messaging charges, if you choose to use them, are paid by you to those providers. Your Google Business Profile and listings remain in your ownership, replies are published only after your approval, and we do not offer any service that buys or removes reviews.
Only if it breaks the platform's rules, and then only by reporting it. We cannot promise removal and we do not use paid deletion services, which rely on false reports.
No. Google prohibits incentives for reviews, and in the United States the FTC rule restricts incentives tied to positive sentiment. We ask every patient and offer nothing in return.
No. Google prohibits selectively soliciting positive reviews. The same request goes to every patient.
Thank the reviewer, speak generally and invite contact offline. Never confirm they were a patient or mention treatment, dates or fees. Your adviser decides what your rules require.
Never. Fake reviews are prohibited by the platforms and, in the United States, by the FTC rule. We only help real patients leave real reviews.
Yes, remotely from Pune, with calls in US business hours. We do not have a US office. Replies follow the privacy rules your adviser gives us.
We have not published dental case studies yet and do not claim dental results. We show related, labelled local business work in our portfolio.
