Corporate stationery is the set of branded documents and materials a business uses in everyday communication. It typically includes business cards, letterheads, envelopes, compliment slips, invoices, quotations, receipts, folders, notepads, ID cards and email signatures, along with digital templates for letters, reports and presentations.
Stationery has moved online rather than disappeared. Quotations, offer letters, invoices and certificates are still created on letterheads, just as PDFs rather than printed sheets. Business cards are still exchanged at meetings, trade shows and site visits in India, often alongside a WhatsApp or LinkedIn connection. Email signatures appear in every message.
These documents are often a client's most frequent contact with your brand. When they are consistent and professional, they quietly support trust. When they are inconsistent, they suggest a business that is less organised than it may be.
Under the Companies Act, 2013, companies must display their name, registered office address, Corporate Identity Number (CIN), telephone number, email address and website, where available, on business letters, bill heads and letter papers, as well as in certain notices and official publications. LLPs have similar requirements, including the LLP identification number.
Tax invoices must include details required under GST rules, such as the supplier's GSTIN, invoice number and date, and tax details. We lay out these details neatly from the information you provide, and your company secretary or accountant should confirm they are complete and current.
Many letterheads look perfect as design files but break when staff use them. Logos get stretched, headers shift when text is typed, and margins differ between computers. We build letterhead templates properly: logo and header in the document header area, footer details in the footer, correct page margins, defined text styles for headings and body, and a continuation sheet for second pages.
Consider a chartered accountancy firm in Mumbai whose partners each used a different version of the letterhead, some in PDF, some in Word with different fonts. A single properly built template with locked headers and defined styles means every letter, engagement letter and report looks the same, whoever prepares it.
A good business card is clear, readable and memorable. It shows the name and designation prominently, gives the most useful contact details, such as mobile, email and website, and includes the logo. Many Indian businesses now add a QR code linking to a digital contact card, website or WhatsApp.
Physical quality matters. Heavier card stock, typically around 300 to 400 GSM, feels more substantial, and finishes such as matte lamination, spot UV or foil on the logo add distinction. The standard size of about 3.5 by 2 inches fits card holders and wallets.
It depends on your audience. Businesses dealing with local government, traders or customers in a particular state may benefit from a bilingual card, with English on one side and Hindi, Marathi, Gujarati, Tamil or another language on the other. Businesses dealing with international clients often use English only, while some export firms print a side in the language of a key market. We design bilingual layouts with matching typefaces.
Invoices and quotations are functional documents first. They should make it easy to see who is billing whom, what was supplied, the amounts, taxes, totals, payment terms, due dates and bank details. Clear tables, consistent alignment and good use of white space reduce errors and payment queries.
Many businesses generate invoices through accounting or billing software, which limits design flexibility. We design within those limits, customising templates in the software where possible, or providing layouts your software provider can implement.
Email signatures pasted as images can be blocked, look blurry or appear as attachments. Signatures built with complex formatting may display differently in Gmail, Outlook, Apple Mail and mobile apps. Some clients strip styles entirely.
We build HTML email signatures with simple, robust code, hosted images, readable text rather than text in images, and sensible sizes. We test them in common email clients and on mobile, and provide installation instructions for your team or IT administrator. A consistent signature, including name, title, phone, website and optionally a small banner, reinforces the brand in every email.
Common envelope sizes include DL, which fits an A4 sheet folded into thirds; C5, which fits an A4 sheet folded in half or an A5 sheet flat; and C4, which fits an A4 sheet flat, often used for contracts and brochures. Businesses sending certificates, legal documents or large brochures may also use larger or custom envelopes. We design envelopes in the sizes you actually use and check printing requirements with your printer.
ID cards typically include the company logo, employee photo, name, designation, employee ID and sometimes department, blood group and emergency contact. They may also include a barcode, QR code or RFID for access control. Designs should be readable from a short distance, work with your card printer and allow easy creation of new cards. Visitor passes follow a simpler, clearly different design for security.
Businesses with several offices need a system that handles different addresses without looking cluttered. Options include listing all offices in a small footer, using location-specific versions of letterheads and cards, or listing only the registered office and the relevant branch.
