No industry is judged by reviews as openly as hospitality. A guest choosing between two hotels at a similar price will look at the rating, read the three most recent reviews and look for the owner's replies. Portals let travellers filter out anything below a chosen score, so a property under the line is never seen at all.

A rating cannot be bought or argued upward. It can be earned, by asking every guest, answering every review and fixing what they complain about. This page explains how that works in practice and what we do.

What you should know.

Where do hotel reviews appear, and which matter most?

In more places than most owners watch. Google is the most visible, because the rating appears beside the hotel's name in search and on Maps, and Google also shows ratings gathered from other travel sites. Tripadvisor remains important for leisure travel and for international guests. Then come the portals where the booking was made: Booking.com, MakeMyTrip, Goibibo, Agoda and Expedia, each with its own score.

The platforms differ in one important way. On portals such as Booking.com, only a guest who booked through the portal and completed the stay can leave a review. On Google and Tripadvisor, anyone with an account can post, which makes them easier to grow and also more exposed to unfair reviews.

For an independent property we usually give Google first priority, since it influences guests on every route, and the busiest portal second. Tour operators and travel agencies should add Tripadvisor and Facebook, where their customers tend to look.

How do you get more guests to leave a review?

Ask, every time, and make it take under a minute. Most guests who enjoyed their stay are happy to say so. Hardly any think of it unprompted, while a guest with a grievance needs no reminder. That imbalance is why a good hotel can carry a mediocre rating.

The routine has two parts. At checkout the front desk thanks the guest and mentions that a review would mean a great deal to the team. The same day, a short message goes out by WhatsApp, SMS or email with a link that opens the review form directly. A QR code at the desk and on the room card serves guests who prefer to do it on the spot.

We write the wording, create the links and codes, and train the desk. Where the hotel uses a property management system, the message can be triggered automatically at checkout. The request goes to every guest, not a chosen few.

What are you not allowed to do when asking for reviews?

Three things, and all of them are tempting. Do not offer anything in return. Google states that offering incentives, such as free or discounted goods or services, in exchange for reviews is prohibited, and Tripadvisor treats incentives the same way. A free dessert for five stars can cost a property its reviews.

Do not filter. Asking guests privately how the stay went and sending the review link only to the happy ones is known as review gating, and Google's policy forbids selectively soliciting positive reviews. You may ask for private feedback, but the public link must go to everyone.

Do not write your own, or let staff, relatives or an agency do it. Beyond platform rules, this is unlawful. In the United States a Federal Trade Commission rule bans fake and purchased reviews. In India, false reviews can amount to a misleading advertisement and an unfair trade practice under the Consumer Protection Act, 2019, and the Bureau of Indian Standards has published a standard, IS 19000:2022, on collecting and publishing online reviews. We do not offer any of these shortcuts.

How should a hotel reply to reviews?

Promptly, personally and to all of them. A reply is read by the reviewer once and by hundreds of future guests afterwards, so it is really written for them. It shows that someone at the property is listening.

For a positive review, thank the guest by name, mention something specific they enjoyed and invite them back. Avoid pasting the same line under every review, which reads as if nobody is there. Google's own guidance suggests keeping replies conversational and not using them to advertise.

We draft replies in your hotel's voice within an agreed time, in English and in the regional language where guests write in it, and you approve them before they are posted or give us standing approval for routine ones. Anything involving a safety complaint, a refund or a member of staff by name always goes to the manager first.

What is the right way to handle a negative review?

Calmly, and within a day or two. Start by checking the facts with the staff on duty. Then reply in four short steps: thank the guest for writing, acknowledge the specific problem without excuses, say what has been done about it, and offer a direct contact to continue the conversation privately.

Do not argue, reveal booking details or accuse the guest of lying, even when the review is unfair. Readers judge the tone, not the dispute. A measured reply to a harsh review often does more for bookings than a page of praise, because it shows how the hotel behaves when something goes wrong.

Where the complaint is justified, fix the cause and say so. If the guest was right about the hot water, the next reviewer should not be able to say the same. Some guests update their review after a sincere response. You may let them know the matter is resolved, but never offer a refund or a free night on condition that they change it.

Can a false or abusive review be removed?

Sometimes. Platforms do not remove a review because it is negative or because the owner disagrees with it. They remove reviews that break their content policies: spam, a review of the wrong business, offensive language, a conflict of interest such as a competitor or former employee, or content unrelated to a real experience.

We document the case with whatever evidence exists, for example that no booking matches the name and dates, and report it through the platform's process. On Google that means flagging the review from the Business Profile and using the review management tool to follow its status and appeal. Tripadvisor and the portals have their own owner reporting forms.

The outcome is the platform's decision and can take days or weeks, so we never promise removal. In the meantime we post a polite reply stating that the hotel has no record of the stay and inviting the reviewer to get in touch. A steady flow of genuine new reviews then pushes an unfair one down the page.

How do reviews turn into better operations?

By reading them as data. One complaint about slow check-in is an anecdote. Six in a month is a staffing problem at the desk between noon and two. Reviews are the cheapest guest research a hotel will ever get, and most properties never tabulate them.

Each month we group what guests wrote into themes, such as cleanliness, staff, food, sleep quality, Wi-Fi, location and value, and count the mentions, positive and negative. The report names the top three things guests praise, which belong in your marketing, and the top three they complain about, which belong on the manager's list.

Often the fix is not operational at all but a matter of expectations. If guests keep saying the hotel is farther from the beach than they thought, the listing needs correcting. Accurate photographs and descriptions prevent a great many poor reviews, and we keep them current on each platform.

How do reviews affect search and direct bookings?

Directly. Google says local results depend mainly on relevance, distance and popularity, and its measure of popularity takes review count and rating into account. More recent, genuine reviews help a property appear when travellers search for a stay in the area, which is the subject of our SEO for hotels page.

Reviews also decide whether advertising pays. A campaign can bring a traveller to the listing, but a weak rating will send them away again, so we look at reputation before recommending spend on performance marketing for hotels.

On your own website, a few real guest comments, quoted with permission and linked to the full profile, reassure visitors who are about to book direct. We do not mark up a hotel's own selected reviews to produce star ratings in search, since Google does not accept that for a business's own site.

What can a hotel expect, and how soon?

The number of new reviews usually rises within the first month, as soon as the desk begins asking every guest. The average rating moves more slowly, since it is weighed down by history, and it shifts as recent reviews accumulate over three to six months. Replies improve how the profile reads from the first week.

We report monthly on new reviews by platform, average rating, response rate and time, themes in the feedback and the status of any reported reviews. We are open about limits: we cannot remove honest criticism, and we cannot lift a rating if the underlying problem remains.

How do pricing and engagement work?

Reputation management for a hotel runs as a monthly retainer. We quote in rupees for Indian properties and in US dollars for properties in the United States. The fee depends on the number of properties and platforms, the volume of reviews, the languages involved and how quickly replies are needed. A one-time audit with a review request setup is available as a fixed-price project for properties that want to run the routine themselves. Messaging charges for WhatsApp or SMS are paid by you to the provider. Your listings and accounts remain in your ownership, and we work with manager access.
