The guest journey around each stay, because it applies to every booking and directly affects revenue and reviews. A confirmation with useful information, a pre-arrival message offering extras, an in-stay welcome with practical details and a post-stay thank-you with a review request are simple to set up and pay back quickly.
Second comes enquiry follow-up for group, wedding, corporate and tour business, where a single missed follow-up can cost a large booking. Third is bringing past guests back: occasional, relevant offers to people who have stayed before and agreed to hear from you.

Guests often appreciate these offers, because they solve problems before they arrive. The front desk benefits too, with fewer surprises and better planning. Offers should be relevant to the guest and the season, not a long menu.
For tour operators, the equivalent is a pre-departure sequence: final itinerary, packing list, weather, contacts and optional add-ons, sent at sensible intervals before the trip.
By asking every guest, after checkout, with an easy link to a recognised review platform such as Google. Reviews are among the most important factors in where guests choose to stay, and most satisfied guests simply do not think to leave one unless asked.
The request must be fair. Google's policy prohibits selectively asking only happy customers for reviews, discouraging negative reviews and offering incentives for them. A common practice called review gating, where guests are first asked privately how their stay was and only satisfied guests are sent to the review site, breaks that policy. In the United States, the Federal Trade Commission's rule on fake reviews also prohibits suppressing negative reviews.

With a CRM pipeline and scheduled tasks. Every enquiry, from the website, phone, WhatsApp, email or a wedding portal, is recorded with its requirements and assigned to a sales person. The enquirer receives an immediate acknowledgement. The salesperson receives reminders to send the proposal, follow up after a set number of days and check again before the client's decision date.
Automated messages to the enquirer can add value along the way: a virtual tour of the venue, photographs of a similar event, menu options or testimonials shared with permission. When a booking is confirmed, deposit reminders and planning checklists follow automatically.

With occasional, relevant messages to guests who have agreed to receive them. Examples include a seasonal offer before the period they last visited, an anniversary or birthday offer if they shared the date, news of a new facility, or a reminder before a festival they travelled for last year.
The aim is to make booking direct easy and worthwhile, for example with a returning-guest rate or a benefit not available through agencies. Every repeat direct booking avoids agency commission on a guest you already won.
Frequency matters. Too many messages lead to unsubscribes and blocks; a few well-timed ones each year usually work best. Results are tracked to bookings so that we can see which messages bring guests back.

In India, most guests respond faster on WhatsApp. Automated WhatsApp messages at scale require the WhatsApp Business Platform through an approved provider, with message templates approved by Meta, and guests must have opted in. Service messages in response to a guest's own message have more flexibility than promotional ones.
Email suits longer content, confirmations and newsletters, and remains standard for many international and US guests. Good deliverability requires a properly configured sending domain, clean lists and content that guests want. Under the CAN-SPAM Act, US commercial emails must include a working unsubscribe option.
Text messages to US guests require prior consent under the Telephone Consumer Protection Act. In India, the Digital Personal Data Protection Act requires notice and consent for marketing use of personal data. Anything that needs judgment or warmth. Responding to a complaint, handling a special request for an elderly guest, negotiating a wedding package or welcoming a regular guest by name are jobs for people. Automation should hand these to staff quickly, not try to handle them.
Automated messages should also read as if a person wrote them, with the property's name, a real contact and a tone that matches the brand. Generic, over-frequent messages damage the guest relationship they are supposed to build.
