What you should know.

Does a hotel need custom software at all?

For its core operations, usually not. Property management systems, channel managers and booking engines are designed for exactly those tasks, are connected to online travel agencies and payment providers, and are updated continually. Building your own equivalents would cost far more and work less well.

Custom software makes sense around those products: where your business has a process that none of them handle well, where information has to be typed from one system into another, or where you want a view of the business that no single product provides. Group and wedding sales, tour packages, multi-property reporting and guest communication are common examples.

We start every project by asking whether a configuration change, an existing add-on or a simple integration would solve the problem more cheaply. Often it would, and we say so before anything is built. That honesty saves money and keeps your systems simpler to run.

How can software help with group, wedding and event sales?

Group business is valuable and messy. A wedding enquiry involves dates, a room block, banquet halls, menus, decoration, rates, deposits and a contract, often negotiated over weeks by phone and WhatsApp. In many properties the details live in a sales manager's notebook, and when that person is away the enquiry stalls.

An events and groups system records each enquiry with its requirements and status, checks availability of rooms and venues, builds a quotation from your rate rules and packages, and tracks follow-ups until the booking is confirmed or lost. Once confirmed, it schedules deposit reminders, produces a function sheet for operations, and sends the room block to the PMS.

What do tour operators and travel agencies need?

A fast way to build and price itineraries. A tour operator assembling a seven-day package draws on hotel contracts, transport costs, guides, entry fees and activities, each with seasonal rates and conditions. Done in spreadsheets, a single quotation can take hours, and revisions take as long again.

An itinerary builder holds your suppliers, contracted rates and standard day plans. A travel consultant selects destinations, dates, hotels and activities, and the system calculates the cost, applies your margin and produces a branded itinerary with day-by-day descriptions, images and a price. When the client asks for a different hotel, the quote updates in seconds.

Once booked, the same system can generate supplier confirmations, vouchers and payment schedules, and track what has been paid to whom. Agencies selling to overseas clients need multi-currency pricing and invoices that meet tax rules for foreign customers, which your accountant should confirm.

How does a direct booking tool fit with the OTAs?

Direct bookings save the commission paid to online travel agencies, but the OTAs remain essential for reach. The goal is a balance: be found on the OTAs, and make booking directly easy and attractive for guests who visit your website or return.

Most properties should use an established booking engine connected to their channel manager, so that availability and rates stay in sync everywhere. Custom work is useful around it: a website designed to convert visitors, special offers for returning guests, packages that combine rooms with experiences, and integration with your CRM for follow-up.

What integrations do hospitality businesses usually need?

The common ones connect the PMS with other systems so that staff stop retyping information. Booking details flow to guest messaging; checkout totals flow to accounting; restaurant charges flow from the point of sale to the guest folio; group blocks flow from the events system to the PMS.

Most modern PMS and channel manager products offer interfaces for partners, though access sometimes requires the vendor's approval or a fee. We check what is available during discovery and design around it. Where no interface exists, a controlled import or export is sometimes the practical answer.

Integrations are monitored, with alerts if a sync fails. In hospitality an error can mean an overbooked room or a guest charged twice, so reliability matters more than cleverness.

How can guest communication be automated?

By triggering messages from booking events. A confirmation with directions and check-in information is sent at booking. A pre-arrival message a day or two before asks for arrival time and offers upgrades, airport transfers or special requests. During the stay, a message shares the Wi-Fi details, restaurant timings and how to reach the front desk. After checkout, a thank-you invites a review.

In India most guests prefer WhatsApp; in the United States, email and text are more common. Automated WhatsApp messages at scale use the WhatsApp Business Platform with templates approved by Meta and require the guest's opt-in. US text messages require prior consent under federal law.

What about payments, refunds and invoices?

Hospitality payments are complicated: deposits, advance payments, partial refunds under cancellation policies, payments collected at the property and payouts from OTAs. Custom tools often need to generate payment links, record deposits against bookings and handle refunds consistently.

We integrate with established payment gateways such as Razorpay in India and Stripe in the United States, so that card data is handled by the gateway and never stored on your systems, which is how card security standards are best met by small businesses. Invoices in India must show GST correctly, and room tariff GST rates depend on the tariff level, which your accountant confirms.

In the United States, the Federal Trade Commission's rule on unfair or deceptive fees requires lodging businesses to show the total price, including mandatory resort and service fees, when they advertise prices. Booking tools must display the full price accordingly. Your counsel should confirm how it applies to you.

How do you protect guest data?

Guest records include names, phone numbers, addresses, identity documents and sometimes passport details for foreign guests. They must be stored securely, accessed only by staff who need them and kept no longer than necessary.

We build with access by role, encryption, logging of who viewed or changed records, and retention rules agreed with you. In India, the Digital Personal Data Protection Act requires notice and lawful processing of personal data, and there are separate rules on reporting foreign guests to the authorities. In the United States, state privacy laws may apply depending on your size and guests.

How does a hospitality software project run?

It begins with discovery: time with your front office, sales and management teams, a review of your PMS, channel manager and other systems, and a written specification with a fixed estimate. Where possible we schedule build and launch outside your peak season.

Projects start with a paid discovery that produces a specification and fixed estimate, followed by a fixed price per phase. The main cost drivers are the number of workflows, integrations with your PMS, channel manager and payment systems, and whether guest-facing screens are needed. Software subscriptions and payment gateway fees are paid by you directly. We quote in rupees for Indian clients and US dollars for American clients, and do not publish prices because projects vary widely.
