Healthcare services tools
Client portals, reporting and workflow for companies serving hospitals and physician groups.
Client portals, reporting, workflow tools and integrations for Nashville healthcare services companies, music businesses, hospitality operators and growing firms.
Nashville, TN, United States, served remotely from Pune, India
Quavento Technologies develops custom software for companies in Nashville, Tennessee. We build web applications, client and partner portals, internal tools, dashboards and the integrations that connect them to systems you already use. We work remotely from Pune, India, hold calls between 8 am and 11 am Central Time and price in US dollars.
Nashville's two best-known industries have more in common than they appear to. A healthcare services company and a music publisher both live on accurate records about who is owed what: which claim was paid, which shift was worked, which writer owns what share of which song. When those records are wrong, money goes missing and trust goes with it.
Much of that record-keeping still happens in spreadsheets and email. This page describes the software we build for the region's main kinds of business, the rules that apply and the work we do not take on.
Last updated:
Client portals, reporting and workflow for companies serving hospitals and physician groups.
Single sign-on, audit logs and roles that help health technology vendors pass security review.
Catalog and split records, statement portals and tour tracking for publishers, labels and managers.
Bookings, groups, staff and equipment coordinated for tours, venues and rentals.
Accounting, CRM, payroll and industry systems connected and monitored.
The numbers that run the business on one screen, drawn from the systems that hold them.
When a packaged product covers most of the work and people are still filling the gaps by hand. Accounting, payroll and email should be bought. So should the core systems of each industry, such as a billing platform, a staffing system or royalty accounting software.
Custom work pays where the business has its own way of doing something that clients notice. The healthcare services firm whose clients want a daily view of their accounts, not a monthly report. The management company that tracks advances, splits and tour expenses across twenty artists. The tour operator matching groups to vehicles, guides and time slots.
We build the missing piece and connect it to the core system, so nothing is typed twice. A first project should be small and specific, with a return you can measure in months. Our guide to planning an MVP explains how to choose it.
Transparency for their clients. Nashville is home to hundreds of companies that handle billing and collections, staffing, coding, supply chain, analytics and outsourcing for hospitals and physician groups. Their clients increasingly expect to see what is happening in real time.
We build client portals that show the client its own data: accounts worked, claims submitted and paid, denials and their reasons, shifts filled, turnaround times. Internally, we build workflow tools that assign work, track exceptions and measure staff against service levels, and reports that assemble themselves instead of taking an analyst a week.
Almost all of this involves protected health information, so federal health privacy law applies. We sign a business associate agreement, host with a provider that does the same, encrypt data, restrict access by role and by client, log who viewed what and show each user only the minimum they need. Separation between clients' data is enforced on the server and tested. Your compliance officer reviews the design before development starts.
Features and evidence that its product is safe to connect. Hospitals and health plans review vendors thoroughly. A young company will be asked how users sign in, how access is limited, what is logged, how data is encrypted and segregated, how incidents are handled and whether an independent auditor has examined its controls.
Often the product needs work before it can pass. Single sign-on with the customer's identity provider. Fine-grained roles. A complete audit trail the customer can review. Data retention and deletion controls. Integration with the health record through its supported standards. Administrative screens for the customer's own security staff.
We build those features into existing products, working in your repository under your processes with test data. An independent audit report is issued to your company by an audit firm, not by us, but well-built controls and clean evidence make it far easier. We do not build software that diagnoses or directs treatment, which may be regulated as a medical device.
Systems that keep the facts straight. A song may have four writers and three publishers, each with a share, and may be recorded many times. Money arrives from collecting societies, streaming services, licenses and labels, months later and in many formats. Getting each person the right amount depends on accurate records of who owns what.
Specialist royalty accounting software handles the calculations, and we do not replace it. We build what surrounds it: a register of songs, writers and agreed splits with the signed paperwork attached, tools to catch missing or conflicting registrations, and portals where writers and artists can see their statements, catalog and payment history without emailing for them.
For managers and labels we build tracking of advances, recoupment, budgets and tour settlements across a roster. Accuracy is the whole point, so every change to a split or an agreement is logged with who made it and when. Access is tightly controlled, since these are confidential business terms.
By replacing the spreadsheet that everyone edits at once. A tour is a moving company with a new workplace every night. Dates, venues, travel, hotels, crew, guest lists, merchandise counts and show settlements all have to be right and all change constantly.
Established tour management tools cover a good deal of this, and we recommend them. Custom work fills the gaps for a particular operation: a settlement tool that applies each deal's terms and produces the night's figures, a guest list system with approvals, merchandise reconciliation by show, or reporting across several tours for a management company.
Venues and promoters have the mirror need: holds and confirmations on a calendar, show advances, staffing and settlements. These tools are used late at night on a phone, in places with poor signal, so they must be quick and work offline. Sales tax on merchandise differs in every state a tour visits, and reports by location support the accountant.
Coordination of groups, staff and assets. Nashville's visitor economy includes tours, entertainment vehicles, event venues, bars with private rooms and thousands of short-term rentals, and most of its customers arrive in groups for a fixed weekend.
Booking platforms handle reservations and payment. We build what they lack: assigning vehicles, drivers and guides to bookings, managing deposits and balances for a group paying separately, coordinating add-ons from other vendors, and rebooking a day when weather or a breakdown intervenes.
Rental managers need calendars synchronized across listing sites, cleaning and maintenance assigned automatically between guests, owner statements and tax reports. The city requires permits for short-term rentals and regulates entertainment vehicles, so the system tracks each permit's status and renewal date. A lapsed permit can stop a property or a vehicle from operating.
Three stand out. First, Tennessee applies sales tax to software, including software accessed remotely, and to many digital products. A company selling software as a service to Tennessee customers may have to collect tax on subscriptions, which many founders do not expect. Billing systems we build can record customer location and apply tax, and your accountant confirms what is due.
Second, the state has a consumer privacy law giving residents rights to access, correct and delete their personal data and to opt out of its sale and of targeted advertising. Software that stores personal data should be able to find, export and delete one person's records on request.
Third, Tennessee law protects a person's voice and likeness, including against imitation generated by artificial intelligence. Any product that synthesizes voices or images of real people needs consent and legal review before it is built, which matters in a city full of recognizable voices. We raise it at the start.
Mainstream technology that other developers can maintain: TypeScript with React and Next.js for interfaces, Node.js or Python for services, PostgreSQL for data and a major cloud provider in a United States region. Where your company has standards, we follow them.
Security is a set of ordinary disciplines applied without exception. Access is by role through single sign-on with a second factor. Data is encrypted in transit and at rest. Every significant action is logged. Backups are tested. Development uses synthetic or masked data, never real patient or financial records. We complete vendor security questionnaires as part of the proposal.
You own the result. Code is in your repository from the first day, cloud accounts are in your name and our agreement assigns intellectual property to you on payment. Some healthcare clients require that their data be accessed only from within the United States, and where that applies we tell you plainly that the work needs a domestic team.
It begins with a paid discovery of two to three weeks. We interview the people who do the work, examine current systems and produce a specification, wireframes and an estimate that are yours to keep.
Development runs in two-week sprints, each ending with a demonstration on a staging system. Progress and decisions are recorded in a tracker you can see. Calls are between 8 am and 11 am Central, and since our working day runs through your night, questions raised in the afternoon usually have answers by morning.
We are based in Pune, India, and have no Nashville office, so workshops are held by video. Phone apps are covered on our mobile app development in Nashville page, contracts on our software development for US companies page, and our other services on the Nashville overview.
Weeks 1 to 3
Interviews on Central Time mornings, current systems reviewed and a written specification with wireframes.
Week 3
Phased plan, data and compliance boundaries confirmed, and a fixed price for the first phase.
Per phase
Two-week cycles, each ending with a working demonstration on a staging system.
1 to 2 weeks
Security review, data migration, user training and a controlled rollout.
Ongoing
A monthly support plan, or a full handover to your own team with documentation.
Discovery is a small fixed-price project. Development is then quoted in US dollars as a fixed price per phase where the scope is clear, or as a monthly team rate where requirements will evolve. The cost depends on the number of user roles and screens, integrations, security and compliance requirements and data migration. Cloud hosting and third-party services are paid by you directly. Support after launch is a separate monthly plan. We do not publish prices because projects differ so widely, but discovery gives you a detailed estimate before you commit to building.
Our team works from Pune, India. We do not have a US office, so every project is run remotely with a named project manager, a weekly call and written updates. These are the hours we keep for calls with US clients.
