What you should know in Houston.

When does custom software make sense?

When packaged products cover most of the work and the remainder is costing money every week. Accounting, payroll and email should be bought. So should an ERP and, where one fits, an industry platform.

Custom work pays at the points where the business is specific. A service company's ticket has to match each customer's contract and price book. Rental equipment has to be tracked with its inspection history. A safety program has to produce exactly the documents a customer's prequalification asks for. Standard products handle these awkwardly or not at all.

What is a field ticket system, and why does it matter?

It is the link between work done and money collected. In oilfield and industrial services, a crew completes a job and records it on a ticket: labor hours, equipment used, materials consumed, mileage and any extras. The customer's representative signs it on site. Billing follows from that ticket, priced against the contract.

On paper, tickets are lost, illegible, priced wrongly or disputed weeks later, and invoices go out late. A digital system puts the ticket on a tablet with the customer's price book loaded. The crew selects items instead of writing them, the totals are calculated, the representative signs on the screen and the office has it within minutes.

Because many job sites have no signal, the app works offline and syncs later. Tickets flow into accounting and, where the customer requires it, into the electronic invoicing platform they use. Recording extras at the moment they happen also reduces under-billing, since nothing depends on someone remembering it later. How should equipment and inspection records be tracked?

By serial number, with a complete history. Service and rental companies own thousands of items, such as pressure equipment, lifting gear, tools and instruments, each of which must be inspected, tested or recertified at set intervals. An item sent to a job with an expired certification can stop the job or worse.

We build a register that holds each asset's identity, location, status and full record of inspections, repairs and certifications, with the documents attached. It warns before anything falls due and prevents an out-of-date item from being assigned to a job. Scanning a tag in the yard shows the record at once.

For rental fleets the same system tracks what is out, with whom and for how long, and feeds billing. Customers can be given a portal to download the certificates for equipment on their site, which saves a great many emails. Industry standards define what must be recorded, and the system is configured to the requirements your quality manager specifies.

How does software support a safety program?

By making the records as routine as the work. Industrial customers require their contractors to run a documented safety program and to prove it, usually through third-party prequalification services that collect policies, training records, insurance and injury statistics. Falling out of compliance can remove a company from a customer's approved list.

We build tools for the daily mechanics: job safety analyses and observations completed on a phone, incident and near-miss reports with photographs, a training matrix showing who holds which qualification and when it expires, and automatic reminders. Statistics are calculated from the underlying records instead of being assembled by hand each quarter.

The system also keeps the documents those prequalification services ask for in one place and current, so an update takes minutes. It does not replace your safety professionals or decide what your program should contain. It makes sure that what they have decided actually happens and can be shown.

What will you not build for industrial clients?

Two categories, and it is better to say so plainly. First, we do not build or connect directly to control systems that operate physical equipment, such as those that run a plant, a pipeline or a drilling operation. A software fault there can cause injury or environmental damage, and the work is governed by specialist engineering and security standards. We work with data those systems export, for reporting and records.

Second, we do not handle export-controlled technical data. A good deal of oilfield, subsea, aerospace and chemical technology is controlled under United States export regulations and cannot be shared with foreign nationals without authorization. We are a team in India. Projects that would expose us to such data, or that a contract requires to be performed in the United States, need a domestic vendor.

What remains is large: commercial, administrative and operational systems that record work, people, assets and money. If you are unsure which side of the line a project falls on, ask your compliance officer before speaking to any offshore vendor.

What do engineering and construction firms need?

Control of documents and a clear view of projects. Houston's engineering and construction companies produce enormous numbers of drawings, calculations, specifications and vendor documents, each passing through reviews and revisions with deadlines attached.

Established document management products exist, and we recommend them. Each has a coordination problem software can ease. Freight forwarders, trucking and warehousing companies around the port need customer portals showing shipment status and documents, quoting tools and integration with carriers and customs brokers' systems, with customs filings themselves left to licensed brokers and certified software.

Healthcare providers, including those serving international patients, need coordination around the health record: referrals, estimates, records arriving from abroad, travel dates, interpreters and follow-up. Software handling protected health information falls under federal privacy law, and we sign a business associate agreement and build with the required safeguards.

Restoration and roofing contractors deal with surges of flood and storm work, most of it paid through insurance. A workflow that follows each job from first call through inspection, claim, approval, work and payment, with photographs and documents attached, keeps hundreds of jobs moving after a disaster.

Which Texas rules should software projects account for?

Tax, privacy and, increasingly, artificial intelligence. Texas applies sales tax to data processing services and interprets the term broadly, so that many software subscriptions and online services sold to Texas customers are taxable, with part of the charge exempt. A company selling such services needs billing that handles it, and your accountant should confirm how it applies.

The state's privacy law gives residents rights to access, correct and delete their personal data and to opt out of its sale and of targeted advertising. Software that holds personal data should be able to find, export and remove one person's records on request.

Texas has also enacted a law governing certain uses of artificial intelligence, including prohibited practices and disclosure duties in some settings. If a project includes automated decisions about people, we raise it at the start, keep a person in the loop and document how the system works. Your counsel advises on what applies.

How does a software project run with a remote team?

It begins with a paid discovery of two to three weeks. We interview the people who do the work, in the office and in the field, examine current systems and paper forms and produce a specification, wireframes and an estimate that are yours to keep.

Development runs in two-week sprints, each ending with a demonstration on a staging system. Discovery is a small fixed-price project. Development is then quoted in US dollars as a fixed price per phase where the scope is clear, or as a monthly team rate where requirements will evolve. The cost depends on the number of user roles and screens, offline requirements, integrations with ERP and customer systems, and data migration. Cloud hosting and third-party services are paid by you directly. Support after launch is a separate monthly plan. We do not publish prices because projects differ so widely, but discovery gives you a detailed estimate before you commit to building.
