Most factories run on a mixture of an accounting package, spreadsheets, paper registers, phone calls and WhatsApp groups. It works, until it does not. A quotation takes two days because the costing sheet lives on one person's computer. A dealer rings three times to ask whether an order has been dispatched. Month-end stock never matches the books. The owner cannot see yesterday's production without calling the supervisor.

What you should know.

When does a manufacturer need custom software?

When a process that matters to you does not fit a standard product, or fits only with painful workarounds. Accounting, payroll and basic inventory are solved problems, and buying a package is the sensible choice. Custom software earns its place in the parts of the business that are specific to you: how you cost a job, how you schedule your particular machines, how your dealers order, how you record quality checks.

A good sign is a spreadsheet that has grown beyond anyone's control, or a task that depends on one person who cannot take leave. Another is information that is typed twice, once into a register and again into the accounting system.

We start by asking whether software is the right answer at all. Sometimes a better spreadsheet, a configuration change in your existing ERP or a small integration solves the problem for far less than a new system.

How does a quotation tool help a factory?

Speed and consistency. In many engineering and fabrication businesses, the supplier who replies first with a credible price wins a large share of orders. Yet preparing a quotation often means finding the last similar job, updating material rates by hand and rebuilding the document.

A quotation tool holds your costing rules: material weight from dimensions, current rates, machine hours by operation, wastage, overheads and margin. A sales engineer enters the requirement and receives a price and a formatted quotation, with drawings or terms attached. Managers approve unusual discounts on their phones. Every quotation is stored, so follow-ups and win rates can be tracked.

Take a fabrication unit that makes tanks to order as an illustration. If each quotation takes three hours and a tool cuts that to twenty minutes, the sales team can answer every enquiry the same day instead of choosing which ones to chase.

What does a dealer portal do?

It moves routine questions out of the sales office. Manufacturers with dealer or distributor networks spend a great deal of time on calls asking about price lists, stock, scheme details, order status and outstanding payments. A portal lets each dealer log in and see their own prices, place orders, track dispatch with transport details, download invoices and credit notes and view their ledger.

For the manufacturer, orders arrive in a consistent format instead of by phone, message and email. Order data flows into the ERP without retyping. Schemes and price changes are published once and seen by everyone. Sales staff spend their time on selling.

Adoption is the real test. Dealers will use a portal only if it is quicker than calling, so we design for a phone, keep the ordering screen to a few taps and often add a WhatsApp notification when an order is confirmed or dispatched.

How do you track production without slowing the shop floor?

By asking for as little input as possible, in the form workers already use. A system that expects an operator to type paragraphs at a terminal will be ignored. One that asks for a scan and a quantity will be used.

We typically give each job a card with a QR code. As the job moves through cutting, machining, assembly, inspection and packing, the operator or supervisor scans it on a phone or a fixed tablet and confirms the quantity. The office sees where every order stands, which jobs are late and where work is piling up.

The first version is deliberately simple: stage, quantity, time and any rejection. Detailed machine-wise efficiency or automatic data capture from equipment can come later, once the basic discipline of recording is established and trusted.

Should custom software replace our ERP or Tally?

Usually not. Your accounting or ERP system is the financial record of the business, and replacing it is expensive and risky. The better approach is to leave it as the system of record and build the missing pieces around it.

In India that system is very often Tally, sometimes Zoho, Busy or SAP Business One. In the United States it may be QuickBooks, NetSuite, Epicor or Microsoft Dynamics. Most of these can exchange data, through an API, a connector or scheduled imports and exports. We design the integration so that master data such as customers, items and prices lives in one place and flows to the other.

Integrations are where projects most often go wrong, so we treat them seriously: every sync is logged, failures raise an alert and nothing is silently lost.

What about quality records and compliance?

Customers in automotive, pharmaceutical, food and export supply chains ask for evidence: inspection reports, material test certificates, batch traceability and calibration records. Keeping these on paper makes every audit a search through files.

A quality module records inspections against each batch or job, stores certificates, links raw material lots to finished goods and produces the reports customers ask for. When a customer raises a complaint, you can trace the batch back to its material and its inspection in minutes.

We build to the records your standards and customers require, such as ISO 9001 documentation practices. We do not certify compliance, and the software does not replace your quality system. It makes that system easier to follow and to prove.

How is the software built and rolled out?

In stages, with real users from the start. We begin by spending time with the people who do the work: the costing engineer, the dispatch clerk, the stores in-charge. We map the process as it actually runs, including the exceptions, and agree a first version small enough to deliver in a few weeks.

Development runs in two-week sprints, each ending with working software that your team tries on real data. Rollout happens one department at a time, usually alongside the old method for a short period, so that production is never at risk.

Training is practical and brief, in the language your staff are comfortable with. We find that a system is adopted when it makes someone's own day easier, not when management insists on it.

Where is the software hosted, and who owns it?

You own it. The source code is delivered to a repository in your company's name, and the agreement assigns the intellectual property to you. Most systems run in a cloud account that belongs to you, so they can be reached from the factory, the head office and a dealer's phone. Where a plant has poor connectivity or a policy against cloud hosting, we can install on a local server with backups.

Access is controlled by role, so a dealer sees only their own orders and an operator sees only the screens they need. Data is backed up automatically, and we document how to restore it.

How does software connect to the website?

More closely than most manufacturers expect. A request for quotation submitted on the website can create an enquiry in the quotation tool automatically. Product data maintained in one place can feed the website catalogue, the dealer portal and printed price lists. Stock status can be shown to dealers without anyone updating it by hand.

How do pricing and engagement work?

A defined first version is quoted as a fixed price against a written specification and paid in milestones. Larger programmes run with a dedicated team billed monthly. The process study is a small paid engagement of its own, and its output belongs to you whether or not we build the system. We quote in rupees for Indian manufacturers and in US dollars for American ones. Cost depends on the number of screens and user roles, the integrations required and whether offline or barcode features are needed. We do not publish prices, because scope varies too widely, but every estimate is broken down feature by feature.
