Custom Software Development Company in Philadelphia, PA

What we do for businesses in Philadelphia.

Quavento Technologies develops custom software for organizations in Philadelphia, Pennsylvania. We build web applications, internal tools, client and tenant portals, dashboards and the integrations that connect them to systems you already use. We work remotely from Pune, India, hold calls between 9 am and 1 pm Eastern Time and price in US dollars.

A great deal of the work done in this region consists of following rules and proving that they were followed. A pharmaceutical team routes a brochure through three reviewers. A landlord renews a license and a lead certificate for each of two hundred properties. A law firm tracks a filing deadline in three courts. A hospital department coordinates referrals across five sites.

Software for such work is mostly about status, deadlines and records. This page describes what we build for the region's main kinds of organization, the rules that apply and, clearly, the work we do not take.

Guide

What you should know in Philadelphia.

When does custom software make sense?

When packaged software covers most of the job and the remainder is costing you time or exposing you to a missed deadline. Accounting, payroll and email should be bought. So should the core systems of each industry: a certified health record, a practice management system for a law firm, a property accounting package.

Custom work pays in the gaps. The property package tracks rent but not which buildings need a lead inspection next month. The practice system holds matters but not the firm's own intake process. The company's document system stores promotional material but does not show which reviewer is holding it up.

We build the missing piece and connect it to the core system, so nothing is entered twice. A first project should be small and specific, with a return you can measure in months. Our guide to planning an MVP explains how to choose it.

What can you build for pharmaceutical and biotech teams?

Business tools outside the validated core. The region's pharmaceutical companies, and the agencies and vendors that serve them, run many processes that are regulated in what they produce but administrative in how they are tracked.

Examples include tracking promotional and medical materials through medical, legal and regulatory review, with each reviewer's comments and the final approval recorded. Coordinating speaker programs and events, with attendee lists and the reporting those involve. Managing requests for medical information, grants or samples through an intake queue. Dashboards for commercial or field teams drawn from existing data.

There is a firm boundary. Systems that hold regulated records, such as manufacturing batch records, laboratory data supporting a submission or clinical trial data, must be developed and validated under formal quality procedures, and we do not take that on. Your quality and compliance groups should decide which side of the line a system falls on before any vendor is engaged.

  • Material review tracking with comments and approvals.
  • Speaker program and event coordination.
  • Intake queues for medical information or grant requests.
  • Dashboards from existing commercial data.
  • Not offered: validated systems for regulated records.

How does software help hospitals and health systems?

By handling what the health record does not. Philadelphia's academic medical centers and community hospitals are heavily invested in their record systems, which remain the source of truth. Around them, staff coordinate referrals, specialist scheduling, interpreter services, patient transport, research enrollment and operational reporting by phone, fax and spreadsheet.

Software that handles protected health information falls under the Health Insurance Portability and Accountability Act. We sign a business associate agreement, host with a provider that does the same, encrypt data, restrict access by role, record who viewed what and collect only what each feature needs.

Integration uses the record system's supported interfaces. Hospital security teams review vendors closely, and we complete their questionnaires as part of the proposal. Many patients here speak Spanish or another language, so patient-facing tools are built multilingual. Software that diagnoses or guides treatment may be regulated as a medical device, which we would refer to a specialist firm.

What do landlords and property managers need?

A calendar of obligations and a way to serve tenants. Philadelphia has an enormous stock of rental housing in row homes and small buildings, and the city regulates it closely. Each rental property needs a license that must be renewed, and older buildings need certification that they are lead safe or lead free, repeated at intervals the law sets. Without them, a landlord may be unable to collect rent or evict.

For a manager with hundreds of scattered properties, tracking those dates by spreadsheet invites an expensive lapse. We build a compliance register that holds each property's license, certifications and inspections, warns well ahead of expiry, stores the documents and shows what is outstanding across the portfolio.

Around it we build tenant portals for payments and repair requests with photographs, a maintenance workflow that assigns jobs to vendors and records completion and cost, and owner reports. Tenant screening and notices follow fair housing law and the city's own rules, to your attorney's specification.

What do law firms need beyond their practice system?

The parts that are particular to the firm. Philadelphia has one of the largest legal communities in the country, with firms practicing across Pennsylvania, New Jersey and Delaware, each with its own courts and rules.

Intake is the commonest project. A prospective client's enquiry is captured from the website or a call, checked for conflicts, assessed against the firm's criteria and either declined with a record or opened as a matter. For high-volume practices, the speed and consistency of that process decides which cases the firm gets.

Other tools include client portals for sharing documents securely and showing case status, deadline tracking that accounts for the rules of each jurisdiction as your attorneys define them, and dashboards of caseload and outcomes. Client confidentiality is a professional duty, so access is tightly controlled and logged. We connect to the practice system through its interfaces instead of replacing it.

How does software help contractors and trades?

By keeping jobs and paperwork moving together. A contractor working on old attached houses deals with shared walls, neighbors, narrow access and a city permitting process. A job cannot start until the permit is issued and cannot close until the inspection passes.

We build tools that follow each job from first call through estimate, contract, permit application, scheduling, inspections and final payment, with the documents and photographs attached. The office can see which jobs are waiting on a permit, an inspection or a material delivery. Customers get a link showing where things stand.

Pennsylvania's home improvement law sets requirements for written contracts and registration, and the documents the system generates follow the wording your attorney provides. Companies working in New Jersey as well have that state's rules applied to jobs there. Crews use a phone app, described on our mobile app development in Philadelphia page.

What about insurers, benefits firms and universities?

Each has high volumes of cases to move. The region is home to large insurers and benefits administrators whose staff process enrollments, claims questions and employer requests. Tools that give each case a status, an owner and a deadline, pull information from core systems and produce a record of what was done reduce both delay and error. Work that touches regulated insurance data proceeds under your compliance team's direction.

Universities and their research groups need scheduling for shared facilities, tracking of applications and awards, and program administration. Student information is protected by federal education privacy law, and tools are designed accordingly, with sign-in through the institution's identity system.

Nonprofits and community organizations need intake, case notes and outcome reporting for funders, in the languages their clients speak. In each case we recommend buying where a product fits and building only the piece that is missing.

What technology and security practices do you use?

Mainstream technology that other developers can maintain: TypeScript with React and Next.js for interfaces, Node.js or Python for services, PostgreSQL for data and a major cloud provider in a United States region. Where your organization has standards, we follow them.

Security is a set of ordinary disciplines applied without exception. Access is by role through single sign-on with a second factor. Data is encrypted in transit and at rest. Every significant action is logged, which matters in work that is all about proving what happened. Backups are tested. Development uses synthetic or masked data.

You own the result. Code is in your repository from the first day, cloud accounts are in your name and our agreement assigns intellectual property to you on payment. Accessibility is built in, since institutions here require it. We do not handle export-controlled data or work that a contract requires to be performed in the United States.

How does a software project run with a remote team?

It begins with a paid discovery of two to three weeks. We interview the people who do the work, map the rules and deadlines that govern it, review current systems and produce a specification, wireframes and an estimate that are yours to keep.

Development runs in two-week sprints, each ending with a demonstration on a staging system. Progress and decisions are recorded in a tracker you can see. Calls are between 9 am and 1 pm Eastern, and since our working day runs through your night, questions raised in the afternoon usually have answers by morning.

We are based in Pune, India, and have no Philadelphia office, so workshops are held by video. How we contract with American clients is set out on our software development for US companies page. The public website is covered under web design for Philadelphia, and our other services are on the Philadelphia overview.

Pricing & engagement

How do pricing and engagement work?

Discovery is a small fixed-price project. Development is then quoted in US dollars as a fixed price per phase where the scope is clear, or as a monthly team rate where requirements will evolve. The cost depends on the number of user roles and screens, integrations, security and compliance requirements and data migration. Cloud hosting and third-party services are paid by you directly. Support after launch is a separate monthly plan. We do not publish prices because projects differ so widely, but discovery gives you a detailed estimate before you commit to building.

Working with a remote team

When can we meet in your time zone?

Our team works from Pune, India. We do not have a US office, so every project is run remotely with a named project manager, a weekly call and written updates. These are the hours we keep for calls with US clients.
