The steps that are most often forgotten and most directly linked to revenue. For most manufacturers that means three things: making sure every enquiry is acknowledged and assigned quickly, making sure every quotation is followed up, and making sure repeat business such as consumables, spare parts and maintenance contracts is prompted on schedule.
These are simple workflows, and they pay back quickly because they act on business you have already won the chance to compete for. More ambitious automation, such as detailed lead scoring or long nurturing programmes, can follow once the basics work.

The one your team will actually use. CRMs such as Zoho CRM, HubSpot and Salesforce can all handle industrial sales. Zoho is popular with Indian small and mid-sized manufacturers for its price and its links with Zoho Books and other Zoho tools. HubSpot is easy to use and strong in marketing automation. Salesforce suits larger organisations with complex processes and budgets to match.
What matters more than the brand is configuration. The CRM should reflect your sales stages, from enquiry through qualification, site visit or sample, quotation, negotiation and order. It should hold your products and price lists, link to your ERP or accounting for orders and invoices, and make it quick for salespeople to log a call from their phone.
We recommend, configure and integrate the CRM, migrate your existing customer data and train your team. If you already have a CRM that is underused, we often start by simplifying it rather than replacing it.
Every enquiry, whether from the website, a marketplace, LinkedIn, an ad campaign or an exhibition list, flows into the CRM with its source recorded. Rules assign it to the right person by product line, region, customer type or language. The salesperson receives a notification on their phone, and the buyer receives an acknowledgement naming who will contact them.
If the enquiry is not touched within an agreed time, it is escalated to a manager. Enquiries that arrive at night or over a weekend are queued for the start of the next working day with a reminder. Duplicate enquiries from the same buyer are merged so that two salespeople do not call the same person.
This sounds basic, and it is. It is also one of the highest-value changes many manufacturers can make, because industrial buyers often contact several suppliers and the first credible reply has an advantage. By combining automatic reminders for your salespeople with a small number of useful messages to the buyer. When a quotation is sent, the CRM schedules a task for the salesperson to call after a set number of days. If the buyer opens the quotation email or downloads attached documents, the salesperson can be alerted.
Messages to the buyer should add value rather than simply chase. A note with a relevant case study, a test report, a short video of the product or an answer to a common technical question keeps the conversation alive. After an agreed period without a response, the quotation is marked as stalled and the salesperson asks directly whether the project is still live.
Every quotation ends with an outcome: won, lost with a reason, or postponed to a date. Over time, those reasons show why you lose orders, whether on price, lead time, specification or something else, which is information most manufacturers never collect.
A planned sequence of messages and tasks over the first months of a new dealer relationship. New dealers are most at risk of drifting away early, before your products have become a habit for them and their customers.
A typical journey includes a welcome with key contacts and how to order, product training videos and documents spread over several weeks, marketing material and display guidelines, a reminder to the area salesperson to visit, and a check after the first order. If a second order has not arrived within the expected time, the salesperson is prompted to find out why.
The same idea applies to existing dealers: alerts when a dealer's ordering falls below their usual pattern, reminders of scheme deadlines and announcements of new products. Delivered by WhatsApp in India and by email or text in the United States, with consent, these keep dealers engaged without extra effort from your team.
Many manufacturers sell products that create predictable repeat business: consumables, filters, spare parts, chemicals, annual maintenance contracts and extended warranties. The timing of the next purchase can often be estimated from the last one.
Automation uses that timing. A customer who bought filters three months ago receives a reminder before they are due, with a link to reorder. A machine approaching the end of its warranty prompts an offer of an extended warranty or maintenance contract. An AMC due for renewal generates reminders to the customer and a task for the service manager weeks in advance.
These reminders often produce some of the best returns in marketing automation, because the customer already trusts you and needs the product. They also protect revenue that would otherwise leak to cheaper non-genuine parts or local service providers.
WhatsApp is the preferred channel for many Indian buyers and dealers. For automated messages at scale, businesses use the WhatsApp Business Platform through an approved provider, with message templates approved by Meta. WhatsApp's policies require that people have opted in to receive messages, and messages must be relevant and not excessive.
Email remains standard for quotations, documents and longer content, and is the main channel for most US buyers. Emails should come from a real person where possible, be short and relevant, and include a clear way to unsubscribe, which the CAN-SPAM Act requires for commercial email in the United States. Automated texts and calls to US mobile numbers require prior consent under the Telephone Consumer Protection Act.
In India, the Digital Personal Data Protection Act requires notice and consent for processing personal data for marketing. We build consent capture into forms and record it in the CRM. Judgment and relationships. Automation is good at timing, reminders and routine messages. It is poor at negotiating a price, understanding a complex specification, handling a complaint or building trust with a key account. Those remain the work of people.
Over-automation is a real risk. A buyer who receives six generic emails after one enquiry, or a dealer bombarded with WhatsApp promotions, will tune out or opt out. We keep sequences short and relevant, and we design them so that a human can step in at any point.
