Apps are not right for every hospitality business, and we will say so. A guest staying two nights at an independent hotel will rarely download its app. The same guest on a ten-day tour, at a large resort with many restaurants and activities, or loyal to a hotel brand they stay with every month, may find one genuinely useful.

Staff apps are often the better investment. Housekeepers, maintenance engineers and front office teams spend their shifts on their feet, and an app that replaces paper lists and radio calls saves time every day. This page explains both, and how we build them.

What you should know.

When is a guest app worth building?

When guests will use it enough to justify downloading it. The strongest cases are resorts with many services, such as several restaurants, a spa, activities and excursions; hotel groups with loyal returning guests; serviced apartments and long-stay properties; and tour operators running multi-day trips.

For a single property with short stays, most of what a guest app does can be provided by a fast mobile website and WhatsApp: directions, room information, restaurant menus, requests and messaging. Guests do not need to install anything, and the cost is a fraction of an app.

We assess the fit honestly before quoting. For many independent hotels, the better investment is a website that converts visitors into direct bookings, like the one we built for Hotel Adhiras, together with good WhatsApp communication.

What can a hotel or resort guest app do?

Before arrival, it can let guests check in online, share arrival times, request airport transfers or early check-in and upload identity documents where rules allow. Where the property's lock system supports it, a mobile key can be issued through the lock vendor's integration.

During the stay, guests can order room service, book spa treatments, restaurant tables and activities, request housekeeping or extra amenities, message the front desk, see the day's events and find local attractions. Charges can be posted to the room folio through the PMS. After the stay, the app can show the bill, invite a review and offer a rebooking discount.

Each feature depends on integrations with the PMS, point of sale, lock system and booking tools. We check what your systems support during discovery and design the app around it, rather than promising features that cannot be connected.

How do housekeeping and maintenance apps help?

Housekeeping depends on accurate, live room status. With paper lists and radio calls, rooms sit dirty after checkout because nobody knew the guest had left, or the front desk tells an early arrival to wait while a clean room sits unreported.

A housekeeping app shows each attendant their assigned rooms with priorities, such as early arrivals and VIPs. They mark rooms in progress, clean and inspected, report maintenance issues with photographs, record lost and found items and minibar consumption. The front desk sees status change in real time, and supervisors see progress across floors.

A maintenance app does the same for engineering: faults reported by any staff member with a photo, assigned to an engineer, tracked to completion, and preventive maintenance scheduled for equipment such as air conditioning, pumps, generators and lifts. Records help with warranty claims and budgeting. These apps often pay back faster than guest apps, because they are used every shift.

What does a traveller app for tour operators include?

Everything a traveller needs during the trip, available without a signal. Tour groups move through mountains, deserts and rural areas with poor connectivity, and a traveller who cannot open their voucher or find the hotel address is stressed and calls your office.

A traveller app downloads the day-by-day itinerary, hotel addresses and maps, transport details, vouchers and tickets, guide and driver contacts, emergency numbers and destination information before departure. Updates sync when the phone has a signal. Push notifications alert travellers to changes such as a revised pickup time.

For operators, the same app can collect feedback after each day, share photos and offer optional extras. It also reduces the paper and printing involved in sending documents. Should hotel groups build a loyalty app?

Only if guests return often enough. Loyalty programmes work for groups with several properties in places guests visit repeatedly, such as business hotels in major cities or resorts that families return to each year.

A loyalty app holds the member's profile and preferences, shows member rates and offers, makes rebooking quick and records points or benefits. It must be connected to the booking engine and PMS so that member rates and stays are recognised automatically.

How do you design apps for guests and busy staff?

Guest apps must be immediately clear to someone using them once, perhaps in a second language, perhaps tired after a journey. Large text, simple navigation, clear images of rooms and dishes and support for multiple languages matter more than novelty. Accessibility features such as screen reader support and adjustable text size are essential.

Staff apps must be fast and forgiving. Housekeepers update dozens of rooms per shift, often with gloves on; each update should take a single tap. Apps should work on the shared or personal phones staff carry, in the languages they read, which in India often includes Hindi, Marathi or other regional languages.

We test with real guests and staff before launch. Small findings, such as attendants needing to mark a room as do-not-disturb with one tap, make a large difference to adoption. We would rather learn these lessons in a pilot than after launch, when staff have already formed an opinion of the app.

What app store and privacy rules apply?

Guest and traveller apps go through the Apple App Store and Google Play, under developer accounts in your company's name. Both stores require an accurate privacy disclosure, a reason for each permission requested, and a way for users to delete their account from within the app. Apple requires permission before tracking users across other companies' apps.

Hotel and travel apps handle personal data, sometimes including identity documents and location. In India, the Digital Personal Data Protection Act requires notice and lawful processing; in the United States, state privacy laws may apply. We collect only what is needed, explain it plainly, and keep sensitive data secure.

Staff apps can be distributed privately rather than publicly, which avoids store review and keeps them out of public view. Location tracking of staff, if used at all, should be limited to working hours and disclosed.

Which technology do you use?

For most hospitality apps we recommend a cross-platform framework such as React Native or Flutter, covering iPhone and Android from one codebase, which keeps cost and maintenance down. Native development is reserved for apps that depend heavily on device hardware, such as some mobile key implementations.

Apps connect to a secure server that integrates with your PMS, point of sale, booking engine and messaging provider. Offline storage is built in where guests or staff may lose signal, with clear indication of what has synced.

How does an app project run?

It begins with discovery: guest journeys or staff workflows observed on site or by video, your systems reviewed and an honest assessment of whether an app is the right answer. If it is, we design a clickable prototype and test it with real guests or staff.

Development runs in two-week sprints, each ending with a build you can install. Integrations are tested against a test property. For guest apps we plan launch outside peak season and prepare in-room and front desk material to encourage downloads, since an app nobody knows about is not used.

Staff apps are piloted with one team or floor before rollout. We stay close for the first weeks, then move to monthly support. Most projects reach a first release within a few months, depending on scope and integrations.

Pricing & engagement

How do pricing and engagement work?

App projects start with a fit assessment and prototype, quoted as a small fixed-price phase. Development is then quoted as a fixed price for the first release or as a monthly team rate. Cost depends on the number of features, integrations with your PMS and other systems, offline needs, languages and whether the app is for guests, staff or both. Developer account and hosting fees are paid by you directly. We quote in rupees for Indian clients and US dollars for American clients, and do not publish prices because scope varies.
