What is the WhatsApp Business app?

The WhatsApp Business app is a free app, separate from personal WhatsApp, that you install on a phone with your business number. It gives you a business profile with your address, hours, website and description, a catalogue of products or services, quick replies for common answers, labels to sort chats, and automatic greeting and away messages.

It is designed for a person replying by hand. You can link a few extra devices, such as a desktop computer, so that more than one person can see the chats, but it is still essentially one inbox. Broadcast messages reach only people who have saved your number, and there is no proper way to automate messages from your booking system or online store.

For many small businesses that is enough. A boutique, a local clinic, a home-service contractor or a small hotel with one or two people answering messages can run very well on the app, provided someone replies quickly.

The API is not an app you download. It is a way for software to send and receive WhatsApp messages on your business number. Meta describes the WhatsApp Business Platform as the way businesses connect to WhatsApp at scale, through Meta's own Cloud API or through business solution providers who build tools on top of it.

Because it is software-to-software, you choose the interface. Most businesses use a shared inbox or CRM where several agents can reply to the same number, see the history of each customer and hand chats to each other. You can also connect a chatbot, your website, your booking system, your online store or your accounting software.

That opens up automation: an order confirmation when someone buys from your Shopify store, a reminder the day before an appointment, an alert when a delivery is dispatched, an OTP for login, a follow-up when a quotation has not been answered. These are sent as approved message templates, which is where the costs come in.

How does WhatsApp API pricing work now?

Meta changed its pricing model on 1 July 2025. Its developer documentation states that conversation-based pricing was replaced with per-message pricing on that date, and that charges apply per template message delivered.

Templates fall into three categories: marketing (offers, announcements, re-engagement), utility (updates about an existing order, booking or account, such as confirmations and delivery alerts) and authentication (one-time passwords). Rates depend on the category, the recipient's country calling code and, for larger senders, volume tiers. Marketing messages cost the most.

Several things are free. When a customer messages you, a 24-hour customer service window opens, and Meta's documentation says all non-template messages sent within an open window are free. Utility templates delivered within an open customer service window are also free. When a customer reaches you through a Click to WhatsApp ad or a Facebook Page button and you reply within 24 hours, a 72-hour free entry point window opens in which all messages, including templates, are free.

On top of Meta's charges, most businesses pay a monthly fee to the business solution provider whose inbox or CRM they use. Meta publishes its current rate cards on its pricing page, and they change from time to time, so check the current figures for India before budgeting.

What rules must every business follow on WhatsApp?

WhatsApp's Business Policy is clear. You may only contact people on WhatsApp if they have given you their mobile number and you have received opt-in permission confirming they want to receive your messages. You are responsible for how you collect that opt-in and for complying with the law. You must respect any request, on or off WhatsApp, to stop messaging someone.

In practice that means no bought number lists, no adding strangers to groups and no messaging everyone in your phone contacts because they once called you. Customers can block or report your number, and WhatsApp limits the messaging of numbers that receive too many blocks and reports.

Certain businesses are restricted or prohibited on WhatsApp for Business under the policy, including payday loans and debt collection, medical and healthcare products, real-money gambling in most countries, and multi-level marketing. Check the policy if you are in a regulated sector.

The API becomes worthwhile when the business wants automatic reminders before maintenance visits and renewals, sent as utility messages to customers who opted in when the job was booked.

A manufacturer like Shriram Industries, selling to buyers and dealers, would typically start with the app for enquiries from the website's WhatsApp button. With a sales team of several people and dealer orders to manage, a shared inbox on the API connected to a CRM keeps every conversation visible and assigned.

How do you get more customers to message you on WhatsApp?

Make it one tap from everywhere. WhatsApp's click-to-chat feature lets you create a link that opens a chat with your number, with an optional pre-filled message. Put it on every page of your website, your Google Business Profile, Instagram bio, email signature, invoices and printed material, often as a QR code.

A pre-filled message tells you where the customer came from and what they want, for example 'Hi, I would like a quote for rooftop solar'. On our own website, the WhatsApp buttons work exactly this way.

Click to WhatsApp ads on Facebook and Instagram are another route, and they come with the 72-hour free messaging window when you reply quickly. How do you measure whether WhatsApp is working?

By what it produces. Count enquiries that start on WhatsApp, how quickly they are answered, how many become bookings or orders, and how many customers come back. On the app, a simple register or labels for 'new enquiry', 'quoted' and 'won' gives you most of this. On the API, your inbox or CRM should report it automatically.
