Marketing automation uses software to perform marketing and sales tasks automatically based on rules and triggers. A trigger, such as a form submission, a page visit, a purchase or a date, starts a workflow. Conditions decide which path to follow, and actions carry out tasks such as sending messages, updating records, assigning leads or notifying team members. Well-designed automation delivers timely, relevant communication at scale.

People who enquire often contact several businesses. Responding quickly with a helpful message and a clear next step significantly improves the chances of a conversation. Automation can send an immediate WhatsApp or email acknowledgement, assign the lead to the right person, notify them on their phone and escalate if nobody responds within a set time. This alone often improves conversion more than increasing ad spend.
Lead scoring assigns points based on who a lead is and what they do. Fit criteria might include location, company size, job role, budget or course eligibility. Behaviour criteria might include visiting pricing pages, opening key emails, attending webinars or requesting a call. When a score passes a threshold, the lead moves to a new stage or is assigned to sales. Scores should be reviewed with sales regularly, since they only help if they reflect what actually predicts sales.
Lifecycle stages describe where each contact is in their relationship with you, such as subscriber, lead, marketing-qualified lead, sales-qualified lead, opportunity, customer and advocate. Automation moves contacts between stages based on actions and sales updates, and each stage can trigger different communication. Integration tools connect applications that do not integrate natively, such as passing leads from a form tool to a CRM, sending booking details to a spreadsheet or triggering WhatsApp messages from an ecommerce event. Zapier is simple and widely supported, Make allows more complex visual workflows, and n8n can be self-hosted for greater control. For high-volume or business-critical integrations, custom API connections may be more reliable. Our API development team builds these when needed.
Customers should not receive the same message on three channels at once. Coordinated workflows choose channels based on purpose, urgency and customer preference: email for detailed content, WhatsApp for conversational and time-sensitive messages, SMS for critical alerts or when other channels fail. Workflows can wait to see whether a message was read or acted upon before trying another channel, and consent is checked for each. Automation acts on data, so poor data leads to wrong actions: duplicate messages, incorrect personalisation, leads assigned to the wrong person or customers receiving sales emails. Before building workflows, we define consistent fields, formats and required values, set up deduplication rules, clean existing records and decide which system is the source of truth for each type of data.
Automation can become impersonal or overwhelming. We limit message frequency across workflows, stop marketing sequences when someone replies or becomes a customer, use personal messages from real people for high-value conversations, give customers control over preferences and review workflows regularly to remove those that no longer serve a purpose. The best automation feels timely and helpful rather than robotic.
Workflows are tested with realistic scenarios before launch, using test contacts that follow different paths: new leads from each source, existing customers, duplicates, missing data and edge cases such as international phone numbers. We check that messages, assignments, field updates and notifications happen as expected, then launch in phases and monitor closely in the first weeks.

Tracking must respect cookie consent and privacy notices.
Automation needs an owner who understands both the business and the systems: someone who approves new workflows, maintains documentation, reviews performance and decides when to retire outdated workflows.
